The simple version
So what is AI?
AI is a computer that learns by looking at heaps of examples — and then uses what it learned to do a job.
It's a bit like how you learned to recognise a dog. Nobody handed you a rulebook — you just saw lots of dogs, and now you know one when you see it. AI learns the same way, except it can look at millions of examples, way more than any person ever could. It isn't really "thinking" like us — it's spotting patterns and making very good guesses.
1
Show it lots of examples
2
It finds the patterns
3
It makes a smart guess
4
The more it practises, the better it gets

WhyThe AI email is polished and professional, but uses generic language, em dashes (—), and American spelling (for example, "optimize"), and lacks the personal details that often make human communication feel authentic.

Am I checking the output?
Would I be comfortable explaining this decision to a customer, colleague, or regulator?
